Transferring clients

Client transfers move an active client from one office to another. Transfers can be requested by the source office and then accepted or rejected by the destination office, or completed in one step by a user who is authorized for both offices.

Prerequisites

  • The client exists with "Active" status.
  • Log in to Symba Microbanking with a user account authorized to transfer clients.
  • The destination office exists and is active.
  • If the client is linked to a group, the destination group is active and belongs to the destination office.

Requesting a transfer

  • Open the client details page.
  • Click the menu icon in the client header.
  • Select "Actions" and click "Transfer Client".
  • Select the destination office and transfer date.
  • Add a note if required by your organization.
  • Click "Confirm".

The client status changes to "Transfer in progress". Active loan and savings accounts are marked for transfer using the same transfer date.

Completing a pending transfer

When a client has "Transfer in progress" status, authorized users can use the client "Actions" menu to complete the transfer:

  • "Accept Transfer" moves the client to the destination office. You can assign a destination group or loan officer when accepting the transfer.
  • "Reject Transfer" puts the transfer on hold and keeps the client in the current office.
  • "Undo Transfer" withdraws the pending or on-hold transfer and returns the client to "Active" status.

Restrictions

  • The source and destination offices cannot be the same.
  • A transfer can only be accepted while the client is waiting for transfer approval.
  • A transfer can only be withdrawn while the client is waiting for transfer approval or on hold.
  • If the client belongs to a group, accepting the transfer requires a destination group unless the group links are being removed by the transfer process.
  • If active group loans are tied to a meeting calendar, the destination group must have a compatible meeting frequency.
